More than just a bulletin board, a well-designed command center is your first line of defense against clutter from mail, school paperwork, and miscellaneous notes that often accumulate on kitchen counters.
Our personal command center, strategically located in the hallway between our kitchen, garage, and mudroom, serves as our daily “check-in” and “check-out” point. This prime location ensures that every family member interacts with it multiple times a day. All incoming mail, permission slips, invitations, and other paperwork are immediately directed here. This practice significantly reduces paper clutter, keeps our countertops clear, and helps us maintain a largely paperless environment. Every single appointment, commitment, task, and reminder must find its place on your chosen calendar(s). My experience has repeatedly shown that if something isn’t calendared, it’s far more likely to be overlooked or forgotten.
For many, the debate between digital and paper calendars is ongoing. I’ve found that a blend of both provides the most comprehensive coverage for our busy lives. I meticulously log all appointments, children’s activities, birthdays, and significant events onto both systems. My continued use of a paper planner alongside a digital one stems from my preference for the physical act of writing out daily to-do lists. There’s something uniquely satisfying and effective about putting pen to paper, helping tasks solidify in my mind. This “old-fashioned” approach offers a focused, distraction-free space for daily planning and task prioritization.
Over the years, I’ve experimented with numerous paper planners, each with different layouts and features. This year, I’m using an incredibly affordable weekly planner that has surprisingly become one of my all-time favorites. However, what works for one person might not work for another. Attach them to the event, and you’ll never worry about forgetting printed maps at home. Furthermore, Google Calendar allows for seamless sharing, enabling you and your spouse to easily view each other’s schedules, promoting better coordination and preventing conflicts.

To specifically manage our complex family calendar, we’ve adopted the Cozi App after trying various other solutions. Utilizing Cozi has proven to be one of the most effective time management and organization strategies for our family. It allows us to meticulously track appointments and activities for every individual, including our children and even our dog, Riggins. Yes, Riggins has entries for vet appointments, heartworm medication reminders, and grooming sessions! Cozi offers several critical features:
- Centralized Family Calendar: All family members can view and add events, ensuring everyone is on the same page.
- Color-Coding: Assign different colors to each family member, making it easy to see at a glance who has what on any given day.
- Shared Shopping Lists: Keep track of groceries and other shopping needs, accessible by everyone (more on this below!).
- To-Do Lists: Create and assign tasks, perfect for chores or household projects.
- Meal Planner: Plan meals for the week, which can even integrate with your grocery list.
- Journal: A private space for family memories or notes.
We initially used the free version of Cozi for over a year, which is robust enough for many families. However, I eventually upgraded to Cozi Gold. The upgrade is incredibly inexpensive and unlocks valuable features like advanced search capabilities and a more comprehensive monthly view, which I find absolutely essential for long-term planning. A standout feature of Cozi is its seamless integration with my Google work calendar. If I add a work appointment to Google, it automatically appears in Cozi as “busy.” This means my husband, Joe, can quickly check my availability when scheduling activities for our kids or Riggins, without needing to call or text me, making coordination incredibly efficient and stress-free.

At the end of each day, take a few minutes to review upcoming events, transfer any incomplete tasks, and ensure all your calendars (paper and digital) are perfectly synced. Use Smart Home Devices to Help You
In our quest for enhanced organization and reduced mental load, smart home devices have become indispensable allies. While many initially perceive devices like Amazon Alexa as mere gadgets for playing music or answering trivia, their true potential for simplifying daily life is truly transformative. - Morning Announcements for Kids: To keep our girls on schedule during busy school mornings, I’ve programmed Alexa to make an announcement at 7:00 am, reminding them, “You should be downstairs by now.” This gentle nudge helps them manage their time effectively and prevents them from getting sidetracked, ensuring a smoother start to the day.
By delegating these routine tasks and reminders to smart home devices, you reclaim significant mental energy. This allows you to focus on more complex decision-making, creative endeavors, or simply enjoying quality time with your family, knowing that the small but important details are being handled seamlessly in the background.

Use Digital Lists for Your Grocery List (or Any List)
Transitioning from traditional paper lists to digital lists has been nothing short of transformative for our household, particularly when it comes to shopping. This is a game-changer that genuinely simplifies daily errands and significantly reduces frustration. We leverage the Cozi App not just for calendars, but extensively for all our shopping needs. This means we maintain ongoing, dynamically updated lists for everything from groceries and Amazon purchases to items needed from Home Depot and Target.
The true genius of this system lies in its seamless integration with our smart home devices. As mentioned before, our Alexa devices work perfectly with Cozi, making list management incredibly convenient and hands-free. This integration is one of our favorite Alexa hacks, eliminating the need to stop what you’re doing to write something down.
For instance, the moment we notice we’re running low on an item—say, deodorant—a simple voice command, “Alexa, add deodorant to my Target list,” instantly adds it to the appropriate digital list within Cozi. There’s no searching for a pen, no scribbling on a random piece of paper that might get lost. With a quick “bippity boppity boo,” the item is logged, ready for the next shopping trip.
The most significant advantage of this digital, shared list system is that its accuracy and completeness are always guaranteed, regardless of who is doing the shopping. No more frustrating conversations like, “I wish you had told me you were going to Target; I needed X, Y, and Z.” Every family member can contribute to the lists in real-time as needs arise, ensuring that when someone heads out, they have a fully updated, comprehensive list at their fingertips on their phone. This eliminates forgotten items, prevents duplicate purchases, and saves both time and money.
Beyond shopping, this digital listing capability extends to any type of list your family might need: packing lists for vacations, project lists for home improvements, chore assignments, or even gift ideas. The flexibility and accessibility ensure that important details are captured and shared instantly, fostering greater household coordination and efficiency.
